New Features

Select Customers for Labels

A new feature that you may find useful is the ability to select specific customers in order to do a mailing. This feature is found on the Reports Menu (top menu bar). For details on how, click here.

MSDS Reporting

You can now track products that require a material safety data sheet by customer. The system will recognize items that are flagged to furnish a msds and check to see if your customer has received one. If not, it will put a reminder on the work order to send. For instructions, click here.

Windows 7 Compatibility

If you are needing to purchase new computers, most are now coming with Windows 7 as the new operating system. I have been testing Addvantage on Windows 7 and everything works fine except faxing invoices and statements.  Since most of you don't use this feature, it should not present a problem.

For users who use Winfax to send invoices or statements. Winfax will not work on Vista or Windows 7 and Symantec no longer offers this faxing program. The only way to continue using Winfax is to upgrade to the Windows 7 Professional Edition and then run Windows XP in virtual mode. This mode allows you to run any programs that are not compatible with the new Windows 7.

End of Year Procedures

It's almost time to close the books on another year.  To help you close things in the proper order, be sure to review your yearly procedures. Even if you don't close your books on a calendar year, there are some procedures you need to follow. Most of the programs have a "Close Year" option along with the monthly close options. Check them when you do the month end, don't do a separate close for the year (except general ledger).

Payroll is always closed on a calendar year. Government reports require that employee earnings and withholding be reported on a yearly basis. Remember to run W-2 forms and 1099 forms AFTER you process the last payroll for the year. Instructions on how to do this is available by pressing the F1 key or click on Help while in the Payroll program. Look for Closing Month/Year , then select Close Payroll.

Accounts Receivable is closed the same as any other month except  that you will check all three purge options, Month, Quarter and Year. When you check the year option, it will reset the Year to date totals back to zero and move the current year to date amounts to previous year.

Accounts Payable is also closed the same as normal with the exception of checking the Close Year box. Just as in receivables, the only changes made is resetting the year to date totals for vendors back to zero and moving them to previous year purchases.

General Ledger

Close your general ledger the same as you do every month.  After closing, you may need to wait for your accountant to look it over and make some adjusting entries. If so, make your adjustments and then do a re-close for December. Once you have your final reports, you will need to clear the yearly totals BEFORE you close January 2010.. This is where most companies make a mistake. They close January before clearing the previous years totals. Then their new year is combined with the previous 12 months of postings. To avoid this, DO NOT close January general ledger until you are sure that you have cleared your current year. One way to see if you have cleared the totals is to check the Year Date on the general ledger close screen. If this date is several months old like the one shown below, then the year end clear has not been run.

 After running your general ledger year-end clear, you are ready to start a new year of general ledger closings.

One note. You can close Accounts Receivable, Accounts Payable and Payroll for January even if you haven't finished your general ledger closing for 2009.  Just don't close the General Ledger for January until you have finished your year-end procedures.
